Terms & Conditions – Membership Plans
Welcome to Thousand Smiles Dental Clinic. These Terms & Conditions outline the agreement between you (“the Member”) and Thousand Smiles Dental Clinic (“the Practice”) when enrolling in our membership plans. By joining, you agree to the terms set out below.
1.Membership Overview
Our membership plans are designed to support preventive dental care through regular visits, exclusive discounts, and ongoing oral health support. Membership is not an insurance policy but a payment arrangement that provides access to specified services and benefits.
2. Eligibility
Membership is available to patients aged 18 and over (or under 18 with parental/guardian consent). Acceptance is subject to an initial dental assessment and approval by the Practice.
3. Monthly Payments
- Membership fees are payable monthly via direct debit
- Payments must be made in advance and maintained for the duration of membership.
- Failure to make payments may result in suspension or cancellation of benefits.
4. Minimum Term & Cancellation
- A minimum membership term of 12 months applies unless otherwise stated.
- If you wish to cancel after the minimum term, at least 30 days’ notice is required
- Early cancellation may require repayment of any discounts received on treatments during the membership period.
5. Included Benefits
Membership benefits are specific to the selected plan (Signature Care or Signature Elite) and include:
- Dental examinations and hygiene visits as outlined
- Airflow polishing sessions (where applicable)
- Discounts on selected treatments
- Prescribed dental products (as listed)
These benefits:
- Must be used within a 12-month period
- Are non-transferable and have no cash value
- Cannot be carried forward if unused
6. Discounts & Exclusions
- Discounts apply only to treatments carried out at Thousand Smiles Dental Clinic.
- Discounts cannot be combined with other promotions or offers.
- Certain treatments may be excluded at the Practice’s discretion.
7. Appointments & Attendance
- Members are responsible for booking and attending their included visits.
- Missed or cancelled appointments without sufficient notice (usually 24–48 hours) may result in loss of that appointment entitlement.
- RRepeated missed appointments may lead to review or termination of membership.
8. Treatment Suitability
All treatments and prescriptions are subject to clinical assessment and suitability. The Practice reserves the right to refuse or modify treatment where clinically necessary.
9. Changes to Membership Plans
- The Practice reserves the right to amend membership fees, benefits, or terms with reasonable notice.
- Members will be informed in advance of any significant changes.
10. Refund Policy
- Membership fees are non-refundable once services have been accessed.
- Refunds will not be provided for unused benefits.
11. Lapsed or Suspended Membership
- If payments are missed, membership benefits may be paused until payments are brought up to date.
- Continued non-payment may result in termination of membership.
12. Liability
While we strive to provide the highest standard of care, Thousand Smiles Dental Clinic is not liable for:
- Treatment outcomes beyond clinical control
- Missed appointments or unused benefits
- Indirect or consequential losses
13. Personal Information
We handle your personal data in accordance with applicable data protection laws. Information collected is used solely for patient care, administration, and communication purposes.
14. Governing Law
These Terms & Conditions are governed by the laws of the United Kingdom. Any disputes will be subject to the jurisdiction of UK courts.
